This Privacy Policy describes how Knowzilla OÜ ("Company," "we," "us," or "our"), a private limited company registered in Estonia (Registry code: 17361297), collects, uses, and discloses your personal data when you use our software-as-a-service platform and visit our website (the "Service").

We are committed to protecting your privacy and handling your data in an open and transparent manner, in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR").

1. Roles and Responsibilities

• Data Controller: We act as the Data Controller for your account information (e.g., name, email, billing details) and website usage data.
• Data Processor: For the content you upload or process through the Service (e.g., call transcriptions, Sales Playbooks), we act as the Data Processor on behalf of your Organization (the Data Controller). This relationship is governed by our Terms and Conditions and Data Processing Agreement (DPA).

2. Data We Collect

2.1. Account and Identity Data

We collect information you provide directly: full name, email address, and organization name.

2.2. Visitor Identification and Warmly.ai

We use Warmly.ai to help us understand which companies and business visitors are interested in Knowzilla. This includes:

• Identity Resolution: Automatically using website activity and business data to help de-anonymize website traffic.
• Profile Information: Names, email addresses, job titles, companies, and social network links.
• Data Enrichment: We may connect online information with offline data or trusted third-party sources for relevant business follow-ups.

2.3. Usage, Technical, and Tracking Data

We automatically collect data via cookies and tracking pixels:

• Analytics: Google Analytics (GA) and PostHog to analyze usage patterns and improve user experience.
• Marketing Pixels: Facebook and LinkedIn pixels to measure ad effectiveness and provide relevant content.
• Device Info: IP address, browser type, operating system, and session duration.

2.4. User Content (Audio and Text)

• Audio Streams: Processed from your microphone or browser tab for real-time transcription.
• AI Generated Content: Text produced by our AI, such as sales playbooks, summaries, and ICP documents.

3. AI Notice and Processing

• No Permanent Audio Storage: Raw audio is streamed to AI processors solely for transcription and analysis. Once the transcription is generated, raw audio is discarded.
• AI Providers: We use OpenAI and Google (Vertex AI). By default, your data is NOT used to train their global public models.
• User Responsibility: While our AI provides real-time coaching, users are responsible for verifying the accuracy of AI-generated outputs.

Business contact and website-identification data is usually kept for up to 24 months after our last meaningful interaction, unless you request deletion sooner or we are legally required to retain it.

5.2. Data Processing Addendum (DPA)

Your use of the Service is subject to the Knowzilla Data Processing Addendum (“DPA”), which is hereby incorporated by reference into these Terms. The DPA sets out our respective obligations with respect to the processing of Personal Data and our technical security measures.
